Best gym CRM software

# 8 best gym CRM software in India for leads, follow-ups and trials (2026)

The best gym CRM software for most Indian gyms in 2026 is CoachFit, at ₹299 a month or ₹2,999 a year. It keeps every walk-in, phone call, referral and social media enquiry in one list, each with a date to call back; it gives trial passes, counts which source brings members, and turns an enquiry into a member in one tap — inside the same app that runs fees, attendance and WhatsApp renewal reminders. If most of your enquiries come from Facebook and Instagram ads, EasyGym (from ₹799 a month) lists Meta ads among its lead sources, and GymForce’s Pro plan (₹1,499 a month, billed yearly) adds WhatsApp campaigns. A general CRM such as Zoho is powerful, but it does not run memberships, so a gym ends up paying for two systems.

1. 1. Best gym CRM for most Indian gyms

 ### CoachFit

 ₹299 a month or ₹2,999 a year, all features

CoachFit treats an enquiry as the start of a membership rather than a sales record. Each enquiry carries where it came from — walk-in, phone call, a member’s referral, social media or your joining link — the plan they asked about, a call-back date and a note. Follow-ups that are due appear on the dashboard and on a To chase list for the day, an enquiry can be given a trial pass with its dates and whether they came, and when they sign up, their name, number and plan carry straight across to a new member. Because the same app then runs their fees, attendance and WhatsApp renewal reminders, the record does not stop at the sale.

 #### Strong at

 - Every enquiry in one list, with its source: walk-in, phone, referral, social media or joining link
 - A call-back date and a note on each enquiry; follow-ups due are counted on the dashboard
 - Trial passes with their dates, and whether the person came
 - One tap turns an enquiry into a member — nothing typed twice
 - The stages a gym already uses: new, contacted, on trial, joined or lost, with the reason a lost one gave
 - A leads report of enquiries and joins by source, so you can see whether Instagram or referrals bring members
 - The referring member recorded on every referral
 - Members, UPI fees at 0% commission, biometric attendance and WhatsApp reminders in the same app

 #### Weaker at

 - No automatic import from Facebook or Instagram lead ads — the desk adds each enquiry
 - Follow-up reminders go to your staff; CoachFit does not send WhatsApp messages to enquiries by itself
 - No call recording or IVR integration
 - A young product, founded in 2026

2. 2. Best for WhatsApp campaigns to enquiries (Pro plan)

 ### GymForce

 ₹999 a month (Growth) or ₹1,499 a month (Pro); ₹11,999 or ₹17,999 a year (published)

GymForce is Indian gym management software whose CRM module, in its own words, can “capture enquiries, assign follow-ups, and track each lead from the first conversation to joining day.” Enquiry management is on its Growth plan, ₹999 a month billed yearly (₹1,200 a month billed quarterly), which also sends WhatsApp alerts and member reminders. WhatsApp campaigns and an official WhatsApp Business API connection come with Pro, ₹1,499 a month billed yearly.

 #### Strong at

 - Enquiries, follow-ups and lead tracking to joining day on the Growth plan
 - WhatsApp campaigns and an official WhatsApp Business API connection on Pro
 - Message credits included: 1,000 on Growth and 5,000 on Pro
 - Multi-location pricing for chains on Enterprise, by quote

 #### Weaker at

 - Enquiry management starts at ₹11,999 a year — four times CoachFit’s yearly price
 - Campaigns to leads need Pro, at ₹17,999 a year
 - Lead stages, trial passes and source reports are not described on its site — ask on a demo

3. 3. Best for gyms that run Facebook and Instagram ads

 ### EasyGym Software

From ₹799 a month (published); what each plan includes is explained on a demo

EasyGym is Indian gym software that puts lead management up front. Its site lists Meta ads, your website, WhatsApp and walk-ins as lead sources, with automated follow-ups, sales pipelines and WhatsApp trial-nurturing campaigns, and it lists a free website, free biometric setup and 1,000 WhatsApp credits as add-ons. Plans start at ₹799 a month; what each plan includes is explained on a demo.

 #### Strong at

 - Meta (Facebook and Instagram) ads listed as a lead source, alongside website, WhatsApp and walk-ins
 - Automated follow-ups and WhatsApp campaigns that nurture people on a trial
 - A sales pipeline from enquiry to member
 - A free website, biometric setup and 1,000 WhatsApp credits, as listed on its site

 #### Weaker at

 - Only a starting price is published; what each plan includes is not
 - The starting price, ₹799 a month, is more than two and a half times CoachFit’s

4. 4. Lowest published entry price for enquiry tracking

 ### OkFit

₹500 to ₹3,000 a month by plan, before tax; 20% off yearly (published)

OkFit is Indian gym software sold in four plans. The cheapest, Lite at ₹500 a month, already lists enquiry management and follow-up scheduling; automatic reminders arrive on Essential, at ₹2,000 a month. Prices exclude tax, and paying yearly saves 20%.

 #### Strong at

 - Enquiry management and follow-up scheduling from the ₹500 Lite plan
 - Four plans to grow into, from ₹500 to ₹3,000 a month
 - 20% off when paid yearly

 #### Weaker at

 - Automatic reminders start on Essential, at ₹2,000 a month
 - Prices are before tax, and features are split across four tiers
 - Lead stages and source reports are not described on its site

5. 5. Best sales pipeline for larger studios with a dollar budget

 ### Wellyx

$99 to $299 a month; lead management named on Exceed, $199 (published, USD)

Wellyx is an international gym and studio platform whose plan comparison has a Sales & CRM section — lead management, advanced lead workflows, sales funnels and lead conversion tracking. Its Exceed plan, at $199 a month, is the one it describes as including lead management, together with POS and premium access control.

 #### Strong at

 - Lead management, lead workflows and sales funnels
 - Lead conversion tracking
 - POS and access control on the same plan

 #### Weaker at

 - Priced in dollars: the plan described with lead management costs about ₹18,900 a month
 - Built for international studios; Indian payment methods are not described on its pricing page
 - Which plan includes which CRM feature is shown only in its comparison table

6. 6. Best for chains that want one CRM inbox

 ### FitnessForce

 By demo; not published

FitnessForce is gym and studio software sold through a demo, built, in its words, to grow “from small studios to large chains.” The updates it lists include a prospect widget, a unified CRM inbox, and two-way SMS, email and WhatsApp.

 #### Strong at

 - A unified CRM inbox with two-way SMS, email and WhatsApp
 - A prospect widget for capturing enquiries
 - Built for chains as well as single studios

 #### Weaker at

 - No published price — every price is quoted on a demo
 - Its site says little about follow-up dates, trial passes or source reports

7. 7. Best lead pipeline outside India

 ### Gymdesk

Reported at $75 to $200 a month by active members; all features (USD)

Gymdesk, a US platform, has one of the clearest lead pipelines in gym software: stages such as New, In Conversation, Booked, Contact Later and Cold, and a follow-up date on any lead that brings an in-app and email reminder. Every plan has every feature, and the price rises with the number of active members.

 #### Strong at

 - Pipeline stages from New to Booked to Cold
 - Follow-up dates with in-app and email reminders
 - Every feature on every plan; the price follows active members

 #### Weaker at

 - Priced in dollars — about ₹7,100 to ₹19,000 a month
 - Email and SMS rather than WhatsApp, and no UPI
 - Its pricing page could not be read for this list, so the price is as reported

8. 8. Best for chains with a dedicated sales team

 ### Zoho CRM

Free for up to 3 users; reported from about ₹800 per user a month, billed yearly

Zoho CRM is a general-purpose CRM from an Indian company, used by sales teams in every industry. It can be shaped into a gym enquiry pipeline with custom stages, tasks and automation, but it does not know what a membership, a renewal or a check-in is — so a gym that uses it still needs gym software beside it.

 #### Strong at

 - Custom pipelines, tasks and workflow automation
 - A free edition for up to three users
 - Connects to a wide range of business tools

 #### Weaker at

 - Not gym software: no memberships, fees, attendance or renewals
 - Setting it up for a gym — fields, stages, automations — takes days, not minutes
 - Paid plans are priced per user, so every front-desk login adds to the bill
 - Indian prices here are as reported by Zoho partners; confirm them on Zoho’s site

## What a gym CRM does — and why it is not a sales CRM

In a gym, a CRM is for one person above all: the one who walks in, asks the fee and says they will think about it. A gym CRM keeps that person’s name, number, where they heard of you and the plan they asked about, and makes sure somebody calls them back on the day they said.

A sales CRM such as Zoho or HubSpot tracks deals for a sales team. A gym’s path is shorter — enquiry, call back, trial, join — and the relationship does not end at the sale: the new member’s renewals, dues and attendance are the same story. That is why most gyms do better with enquiry tracking built into their gym software than with a CRM bolted on beside it.

## What a missed follow-up costs your gym

Take a 150-member gym in Jaipur that gets 40 enquiries a month. If 10 of them join, it converts one in four. If calling back on the promised day and offering a trial lifts that to 14, the gym has four more members every month without spending another rupee on marketing.

At ₹1,200 a month each, those four add ₹4,800 to the first month’s collection. If each of them stays, by the twelfth month the gym has 48 more paying members than it would have had — about ₹3.7 lakh of extra fees over the year. That arithmetic is what gym CRM software is for: not tidier records, but fewer people who were never called back.

## Gym CRM software compared, feature by feature

What each product’s own site says about the jobs a gym CRM has to do. “Not stated” means its site does not say — ask about it on a demo rather than assume either way. Gymdesk and FitnessForce are left out of the table: Gymdesk is not built for Indian payments, and FitnessForce publishes too little to fill it.

| Feature | CoachFit | GymForce | EasyGym | OkFit | Wellyx | Zoho CRM |
| --- | --- | --- | --- | --- | --- | --- |
| Enquiries with follow-up dates | Yes | Yes (Growth) | Yes | Yes (Lite) | Yes (Exceed) | Yes |

## What gym CRM software costs in India

Prices as each company published them on the date at the foot of this page, for one gym. Dollar prices are converted at about ₹95 to the dollar, and the yearly column is what you would actually pay in a year.

| Software | Plan with enquiry tracking | A month | A year |
| --- | --- | --- | --- |
| CoachFit | Every plan, all features | ₹299 | ₹2,999 on the yearly plan |
| GymForce | Growth; campaigns on Pro | ₹999–₹1,499, billed yearly | ₹11,999–₹17,999 |
| EasyGym | Not published per plan | From ₹799 | Not published |
| OkFit | Lite; reminders from Essential | ₹500–₹2,000, before tax | About ₹4,800–₹19,200 with 20% off yearly |
| Wellyx | Exceed | $199 (about ₹18,900) | About ₹2.27 lakh |
| Gymdesk | Every plan | $75–$200 (about ₹7,100–₹19,000) | About ₹85,500–₹2.28 lakh |
| FitnessForce | By demo | Not published | Not published |
| Zoho CRM | Free edition, or Standard | About ₹800 per user, billed yearly | About ₹9,600 per user |

## Register, spreadsheet or gym CRM?

Most gyms start with an enquiry register at the desk, move to a spreadsheet, and only then to software. Here is what each one does for the person who walked in on Monday and said they would think about it.

| | Register at the desk | Google Sheet and WhatsApp | CRM inside your gym software |
| --- | --- | --- | --- |
| Reminds you to call back | No | Only if somebody filters the sheet every morning | Yes — follow-ups due today are counted |
| Survives a change of staff | If the book stays | If the sheet was shared | Yes — the record belongs to the gym |
| Knows who joined | No | Only if somebody updates it | Yes — the enquiry becomes the member |
| Shows which source works | No | With counting by hand | Yes — joins by source |
| Cost | A notebook | Free | ₹299 a month with CoachFit, everything else included |

## Which gym CRM should you choose?

If your enquiries walk in, phone or come by referral — as they do at most Indian gyms — choose software that puts the day’s follow-ups in front of your desk and turns an enquiry into a member without retyping. CoachFit does both at ₹299 a month, and OkFit’s Lite plan covers basic enquiry tracking at ₹500.

If most of your enquiries come from Facebook and Instagram ads, choose a product that brings ad leads in by itself: EasyGym lists Meta ads as a lead source, and GymForce’s Pro plan adds WhatsApp campaigns. With CoachFit, point your ads and Instagram bio at your joining link instead: people pick a plan on their phone and send a join request, which you accept.

If you run a chain with a dedicated sales team, a general CRM such as Zoho beside your gym software gives that team pipelines and automation, at the cost of two systems and per-user fees. FitnessForce, sold on a demo, aims at chains with a unified CRM inbox.

If you get fewer than ten enquiries a month, a shared Google Sheet is enough — as long as somebody opens it every morning.

## Questions to ask on any gym CRM demo

A demo shows the screens that look best. These questions show how the software behaves on an ordinary Tuesday:

- Where do I see today’s follow-ups — and does anybody get reminded, or do I have to look?
- When an enquiry joins, do I type their details again?
- Can I see how many people from each source joined, not just how many enquired?
- Do WhatsApp messages go from my number or yours, and what does each one cost?
- Is the price per gym, per branch or per user — and what does a second branch add?
- If I leave, can I take my enquiries and members with me as a spreadsheet?

## Questions

Why is CoachFit ranked first on this list?

CoachFit publishes this list, and ranks itself first. The reasons are in its entry, and so is where it is weaker. Every other product is described from its own published information, checked on the date shown, so you can compare them fairly.

What is gym CRM software?

Gym CRM software keeps every enquiry — walk-in, phone call, referral or social media message — with a date to call back, tracks trials, and turns the enquiry into a member when they join. In India it is usually part of gym management software rather than a separate tool, so the same record carries on into fees, attendance and renewals.

Which is the best gym CRM software in India?

For most Indian gyms, CoachFit: every enquiry with a follow-up date, trial passes, one-tap conversion into a member and a report of joins by source, inside gym software that costs ₹299 a month with everything included. Gyms that live on Facebook and Instagram ads may prefer EasyGym, from ₹799 a month, or GymForce Pro, ₹1,499 a month billed yearly, for WhatsApp campaigns.

How much does gym CRM software cost in India?

Indian gym software with enquiry tracking costs from ₹299 a month (CoachFit) to ₹3,000 a month (OkFit’s top plan), and GymForce’s enquiry management starts at ₹999 a month, billed yearly. International platforms cost $75 to $299 a month. A shared spreadsheet, or Zoho CRM’s free edition for up to three users, costs nothing — but neither runs memberships.

Can CoachFit import leads from Facebook or Instagram ads?

No. CoachFit does not pull in Meta lead ads by itself; the desk adds each enquiry, with its source, in a few seconds. If you advertise on Instagram, point the ad or your bio at your CoachFit joining link instead: people pick a plan on their phone and send a join request, which you accept.

Is Zoho CRM good for a gym?

Zoho CRM is a capable sales CRM with a free edition for three users, but it is not gym software: it has no memberships, renewals, fees or attendance. It suits a chain with a sales team that also runs gym software beside it. A single gym is usually better served by enquiry tracking inside its gym software.

What should a gym CRM remind me about?

Three things: enquiries whose call-back date is today, people on a trial — to ask how it went — and members whose plan is about to end. The first two win new members and the third keeps the ones you have. CoachFit counts follow-ups due on the dashboard, shows trials in the enquiry list, and sends members’ renewal reminders on WhatsApp by itself.

Can I follow up gym enquiries on WhatsApp?

Yes — most Indian gyms do, from the desk phone. Reply on the day they enquired, message only people who asked about the gym, and keep it personal rather than a broadcast. Automated WhatsApp campaigns to leads need the official WhatsApp Business API; GymForce’s Pro plan and EasyGym offer them.

How much does CoachFit cost?

CoachFit is ₹299 a month or ₹2,999 a year for one gym, with every feature included and no limit on members or staff. Extra branches are ₹199 a month each.
