Low-cost gym software for small towns

# Low-cost gym software for small-town gyms in India: tier 2 and tier 3 cities (2026)

For a small-town gym in India, the lowest-priced software that runs the whole gym, fingerprint machine included, is CoachFit, at ₹2,999 a year or ₹299 a month. It records cash and UPI fees, tracks every member’s dues, sends WhatsApp renewal reminders at ₹0.28 a message, works with the eSSL and ZKTeco fingerprint and face machines that local dealers sell, and runs on an ordinary Android phone. GymForce Lite costs the same ₹2,999 a year with a longer 30-day trial, but its page does not mention fingerprint machines; Dgymbook is ₹499 a month with GST invoices built in. CoachFit needs an internet connection, as cloud software does, and its screens are in English.

5-day free trial · No credit card needed

1. 1. Best low-cost gym software for most small-town gyms

 ### CoachFit

 ₹299 a month or ₹2,999 a year, all features

At ₹2,999 a year, CoachFit costs less than three members’ fees for a month at a gym charging ₹1,000 — and that price includes everything: members and plans, cash and UPI fees with dues, WhatsApp renewal reminders, attendance from the eSSL and ZKTeco readers local dealers already sell, a member app, trainers and reports. It runs on an Android phone and in a browser, so the owner can see the gym from the desk or from home.

 #### Strong at

 - Every feature at ₹299 a month or ₹2,999 a year — no setup fee and no per-member fee
 - Records cash, UPI, card and bank transfers; UPI goes straight to your own account at 0% commission
 - Dues tracked member by member, with WhatsApp reminders sent by themselves at ₹0.28 a message
 - Works with eSSL and ZKTeco readers; members whose plan has ended are kept out at the door
 - A member’s finger or face enrolled from the app, without walking to the machine
 - Android app for the owner and staff, and the web on any computer
 - A member app with workouts, diet plans, streaks and class booking

 #### Weaker at

 - Needs an internet connection — there is no offline mode, so the desk phone needs mobile data or Wi-Fi
 - English only — there is no Hindi or regional-language screen yet
 - Members use the CoachFit app, not an app in your gym’s own name
 - A 5-day free trial, shorter than GymForce Lite’s 30 days

2. 2. Best for a long free trial at the same yearly price

 ### GymForce Lite

₹2,999 a year, for small gyms (published)

GymForce Lite is GymForce’s plan for small gyms, sold on its own site at ₹2,999 a year — the same as CoachFit’s yearly price. It offers unlimited members and staff, UPI payment links and receipts on WhatsApp, a QR check-in, dues reminders, lead management and renewal tracking, and members can be imported from Excel or even a photo of a paper register. Its 30-day free trial needs no card.

 #### Strong at

 - Unlimited members and staff at ₹2,999 a year
 - UPI payment links and instant receipts on WhatsApp
 - QR check-in, and a dropout alert when a member has been away four days
 - Members imported from Excel, CSV or a photo of a paper register
 - A 30-day free trial with no card and no lock-in

 #### Weaker at

 - Fingerprint and face machines are not mentioned on the Lite page — ask before buying if you have one
 - What Lite leaves out compared with the full GymForce plans is not set out on its page
 - A web version is not mentioned; the page links to the phone apps

3. 3. Best single-plan option with GST invoices

 ### Dgymbook

₹499 a month, one plan with every feature (published)

Dgymbook sells one plan at ₹499 a month in India with every feature in it: memberships with freezes and group plans, attendance with optional biometric check-in, automated WhatsApp reminders before a plan ends, GST invoices and UPI QR codes, expenses, AI-written workout plans, lead management and a member app for Android and iPhone.

 #### Strong at

 - One plan with every feature, and no contract or setup fee, as its site says
 - GST invoices and UPI QR codes
 - Automated WhatsApp reminders before a membership ends
 - Optional biometric check-in with a supported device
 - A member app for Android and iPhone

 #### Weaker at

 - About two-thirds more than CoachFit each month — ₹499 against ₹299
 - Which biometric devices it supports is not listed
 - No yearly price is published

4. 4. Best for starting small and adding features as you grow

 ### OkFit

₹500 to ₹3,000 a month by plan, before tax; 20% off yearly (published)

OkFit sells four plans from ₹500 to ₹3,000 a month, before tax, with 20% off when paid yearly. Its billing tools issue GST invoices and collect by UPI, cards, net banking and payment links, and automatic reminders arrive on the ₹2,000 Essential plan.

 #### Strong at

 - An entry plan at ₹500 a month, with enquiries and follow-ups
 - GST invoices, and collection by UPI, cards, net banking and payment links
 - 20% off when paid yearly

 #### Weaker at

 - Automatic reminders need Essential, at ₹2,000 a month
 - Prices are before tax, and features are split across four plans

5. 5. Best for a website and biometric setup bundled in

 ### EasyGym Software

From ₹799 a month (published); what each plan includes is explained on a demo

EasyGym starts at ₹799 a month and lists a free website, free biometric setup and 1,000 free WhatsApp credits alongside gym management, lead tracking and WhatsApp automation. What each plan includes is explained on a demo.

 #### Strong at

 - A free website and free biometric setup, as listed on its site
 - WhatsApp automation, with 1,000 free WhatsApp credits
 - Lead tracking with Meta ads, website and walk-in sources

 #### Weaker at

 - Only a starting price is published
 - ₹9,588 a year at the starting price — about three times CoachFit’s yearly plan

6. 6. Enough while the owner knows every member by name

 ### A register or Google Sheet, and WhatsApp

 Free

Many small-town gyms start with a register or a shared Google Sheet and the owner’s own WhatsApp. It costs nothing and everybody knows how to use it, but nothing reminds you who owes money or whose plan ends this week, and the record lives on whichever phone or desk it was written on.

 #### Strong at

 - Free and familiar
 - Works with no internet at all
 - Nothing to set up

 #### Weaker at

 - Nobody is reminded of dues or renewals — you have to look
 - Reminders typed one at a time from your own number
 - A fingerprint machine’s records stay on the machine, apart from your fees

## What a small-town gym needs from its software

A gym in Kota, Jhansi or Hubballi is not a smaller copy of a Mumbai chain. The owner usually sits at the desk, fees are paid as often in cash as by UPI, the staff use their own Android phones, and the fingerprint machine came from the local dealer who installed it. Software for that gym has to fit those facts, not ask the gym to change them.

Price matters more, too. When a membership is ₹700 or ₹1,000 a month, software at ₹1,500 a month eats two members’ fees before it has saved anything. The test for low-cost gym software is simple: does it pay for itself with one member it stops you losing?

- Cash and UPI recorded in one place, with dues for each member
- Renewal and dues reminders that go out on WhatsApp without anybody typing them
- The fingerprint or face machine you already have, connected — not replaced
- An Android app the owner can use from home, not only a desk computer
- A price that stays below the fee of one or two members

## Low-cost gym software compared

What each product’s own site says, checked on the date at the foot of this page. “Not stated” means its site does not say — ask before you pay rather than assume.

## What software really costs a small-town gym

The fairest way to judge the price is against what the gym collects. These are CoachFit’s costs with two WhatsApp reminders a member each month, at ₹0.28 a message.

| Gym | Collected a month | CoachFit a month, with WhatsApp | Share of collection |
| --- | --- | --- | --- |
| 60 members at ₹700 | ₹42,000 | ₹299 + ₹34 = ₹333 | About 0.8% |
| 150 members at ₹900 | ₹1,35,000 | ₹299 + ₹84 = ₹383 | About 0.3% |
| 300 members at ₹1,200 | ₹3,60,000 | ₹299 + ₹168 = ₹467 | About 0.13% |

## Internet, power cuts and the fingerprint machine

Every cloud gym software — CoachFit included — needs an internet connection to save a payment or show today’s dues. In practice that is the desk phone’s mobile data: CoachFit’s Android app and web pages work on an ordinary 4G connection, and the owner can check the gym from home in the evening.

The fingerprint or face machine needs to be online too, so that check-ins reach the software and expired members are turned away. A small Wi-Fi router on the same power backup as the machine keeps it connected through a power cut. Most eSSL and ZKTeco machines keep their records during a break in the connection and send them when it returns, but ask your dealer to confirm this for your model.

## Cash, UPI and the dues book

Most small-town gyms keep a dues book, and most dues books are wrong by the end of the month. CoachFit records each payment the way it was made — cash, UPI, card or bank transfer — and keeps what every member still owes, including part payments. The dues list is always the real one.

UPI payments go straight to the gym’s own UPI ID, with no commission to CoachFit, and the member gets a receipt. Members whose plan is about to end or who owe money get a WhatsApp reminder by themselves, from CoachFit’s WhatsApp Business number with the gym’s name, so the owner no longer types the same message forty times a month.

## Do you need GST invoices?

A gym has to register for GST once its turnover passes ₹20 lakh a year in most states, or ₹10 lakh in a few north-eastern states, and then charges 18% GST on memberships. A 150-member gym charging ₹1,000 a month collects about ₹18 lakh a year — below the line — so many small-town gyms issue plain receipts rather than tax invoices.

If you are registered, choose software that prints a proper tax invoice with your GSTIN and the CGST and SGST split out. CoachFit, Dgymbook and OkFit all list GST invoices; ask your accountant which format they need before you choose.

## Questions to ask before you pay a local reseller

In smaller cities, gym software is often sold by a local reseller along with the fingerprint machine. A good one is worth it; a poor deal can cost more than the software. Ask:

- Is there a setup fee, an installation charge or a yearly maintenance (AMC) fee on top of the price?
- Is the price per gym, per member or per staff login — and what happens at 200 members?
- Will my existing fingerprint machine work, and who fixes it if check-ins stop arriving?
- Which WhatsApp number do reminders come from, and what does each message cost?
- Can I download all my members and payments as a spreadsheet if I leave?
- What will the price be in the second year?

## Which low-cost gym software should you choose?

If you want the lowest price that still runs the whole gym — fees, dues, WhatsApp reminders, your fingerprint machine and a member app — choose CoachFit at ₹2,999 a year. If you want a month to try before you pay and do not use a fingerprint machine, GymForce Lite is the same yearly price with a 30-day trial.

If you are GST-registered and want one simple plan, Dgymbook at ₹499 a month is worth a look. If you would rather start with enquiries and add features as you grow, OkFit begins at ₹500 a month. And if your gym is still small enough that you know every member by name, a register and your own WhatsApp will do — until the day you find a member has not paid for three months.

## Questions

Why is CoachFit ranked first on this list?

CoachFit publishes this list, and ranks itself first. The reasons are in its entry, and so is where it is weaker. Every other product is described from its own published information, checked on the date shown, so you can compare them fairly.

What is the cheapest gym software for a small-town gym in India?

CoachFit and GymForce Lite both cost ₹2,999 a year, the lowest published yearly prices for complete gym software; CoachFit is also ₹299 a month if you would rather pay monthly. Dgymbook is ₹499 a month, OkFit starts at ₹500 a month before tax, and EasyGym from ₹799 a month.

Does CoachFit work without internet?

No. CoachFit is cloud software and needs a connection to save payments and show dues — usually the desk phone’s mobile data is enough. Most eSSL and ZKTeco fingerprint machines keep their records during an outage and send them later, but confirm this with your dealer for your model.

Is CoachFit available in Hindi?

Not yet — CoachFit’s screens are in English. Most desk tasks are a few taps on short labels, such as Add member, Renew plan and Mark attendance, and the WhatsApp reminders members receive are plain messages from the gym.

Can I use the fingerprint machine I already have?

If it is an eSSL or ZKTeco machine that supports ADMS — the setting that lets it send check-ins over the internet — yes: CoachFit connects to it, and you can enrol a member’s finger or face from the app. A machine without ADMS cannot send its records to CoachFit.

Do I need GST registration for my gym?

Only once your turnover passes ₹20 lakh a year in most states, or ₹10 lakh in a few north-eastern states. After that, you charge 18% GST on memberships and should issue tax invoices with your GSTIN and the CGST and SGST split out.

How much does WhatsApp cost with CoachFit?

Each message costs ₹0.28 from a prepaid balance. A 150-member gym sending two reminders a member each month spends about ₹84 a month on WhatsApp, on top of the ₹299 software price.

Can members pay in cash?

Yes. CoachFit records cash, UPI, card and bank-transfer payments alike, keeps part payments and dues for each member, and gives a receipt. UPI payments go to your own UPI ID with no commission.

How much does CoachFit cost?

CoachFit is ₹299 a month or ₹2,999 a year for one gym, with every feature included and no limit on members or staff. Extra branches are ₹199 a month each.
