Chasing fees is the job every gym owner hates and every gym owner does. These are messages you can copy, why the short ones work better, and the rule that decides whether WhatsApp will deliver them at all.

The rule nobody mentions first

If you are sending fee reminders through the WhatsApp Business API — which is what any gym software uses — you cannot simply type whatever you like. Messages sent to someone who has not written to you in the last 24 hours must use a template approved by Meta in advance.

That has three consequences worth knowing before you write anything:

  • Get templates approved early. Approval usually takes minutes to a day, but not on the morning fees are due.

  • Variable bits — name, amount, date — are placeholders filled at send time. The wording around them is fixed.

  • Templates that read like advertising get rejected. Templates that state a fact about the member's own account get approved.

You pay Meta per conversation, roughly 25–30 paise for a utility message in India. A 300-member gym sending two reminders a month spends under ₹200.

What actually gets people to pay

Having watched how gyms use these, four things separate a reminder that works from one that annoys:

Short wins. A member reads a WhatsApp message in about two seconds. If the amount and the date are not in the first line, they are not read.

Say the amount. "Your fees are due" prompts a reply asking how much. "₹1,500 is due" prompts a payment.

Give them a way to pay in the message. A reminder without a payment link is a reminder to think about it later.

Stop after the third. A fourth reminder does not collect money; it collects a cancellation. After three, the conversation should be a phone call from a human.

Before the due date

1 — Seven days out

Hi {{name}}, your {{plan}} at {{gym}} runs out on {{date}}. Renewing before then keeps your streak and your slot. Pay here: {{link}}

2 — Three days out

Hi {{name}}, {{gym}} here. ₹{{amount}} is due on {{date}} for your {{plan}}. You can pay by UPI in a few seconds: {{link}}

3 — On the day

Hi {{name}}, your {{plan}} at {{gym}} expires today. ₹{{amount}} to continue: {{link}}. See you at the gym.

After it is overdue

4 — Day one

Hi {{name}}, your {{plan}} expired yesterday and ₹{{amount}} is pending. Pay here to carry on without a break: {{link}}

5 — Day three

Hi {{name}}, we have not seen a payment for {{plan}} (₹{{amount}}). If something has come up, reply to this message and we will work it out.

6 — Day seven, the last one

Hi {{name}}, your membership at {{gym}} is on hold until ₹{{amount}} is cleared. Pay here: {{link}}. If you would rather stop for now, just tell us — no hard feelings.

That last line matters. A member who is embarrassed about money avoids the gym entirely and never comes back. Giving them a dignified exit is how you get them back in March.

Attendance, which is the earlier warning

Members stop attending before they stop paying. A message at the right moment here saves more revenue than any fee reminder.

7 — Seven days absent

Hi {{name}}, we have not seen you at {{gym}} this week. Everything alright? Your plan runs to {{date}}.

8 — Fifteen days absent

{{name}}, it has been a fortnight. Come in this week and one of our trainers will redo your plan with you — no charge.

9 — Streak about to break

{{name}}, you are on a {{days}}-day streak at {{gym}}. Today keeps it going.

The ones that build the gym

10 — Welcome, sent the day they join

Welcome to {{gym}}, {{name}}. Your {{plan}} runs from {{start}} to {{end}}. Timings are {{hours}}. Ask any trainer on the floor if you are unsure where to start.

11 — First week check-in

Hi {{name}}, one week in. How is it going? Reply here if you want a trainer to take you through the machines properly.

12 — Renewal thank-you

Thanks {{name}} — ₹{{amount}} received and your {{plan}} now runs to {{date}}. Your receipt is in the app.

13 — Referral, after three months

{{name}}, you have been with us three months. Bring a friend this month and you both get {{offer}}.

14 — Class or slot reminder

{{name}}, your {{class}} at {{gym}} starts at {{time}} today. Reply CANCEL if you cannot make it so we can give the place to someone waiting.

15 — Win-back, six weeks after lapsing

Hi {{name}}, it has been a while since you trained at {{gym}}. We have {{whatsnew}} now. Come and try a day on us — no charge, no sign-up.

Making this a system rather than a chore

Fifteen templates are only useful if somebody sends them at the right moment, and no owner is going to check every member's expiry date every morning.

The fix is to attach each message to an event rather than a day: seven days before a plan expires, on the day it lapses, after a week without a check-in. Once that is set, the gym stops chasing and the messages simply go.

CoachFit sends these automatically on WhatsApp, with your gym's name in the message, priced at cost at ₹0.28 a message with nothing sent that is not paid for. See how WhatsApp automation works, or what gym software with reminders should do.
