Fees and collection

Know who owes what, and let them pay from their phone

Fee collection in most gyms is a register, a memory and a certain amount of embarrassment. Somebody paid half in cash three weeks ago and nobody wrote it down.

CoachFit records what is owed and what was paid against the member, and gives them a one-tap UPI link so the money reaches you without anybody counting notes.

Your UPI ID, not ours

You enter your own UPI ID and QR. Members pay you directly. CoachFit never holds your takings and takes no percentage of them, so there is no transaction fee quietly doubling the price of the software.

One tap, amount filled in

The link opens their payment app with your handle and the right figure already there. No typing an amount, and no paying ₹500 against ₹1,500 owed by accident.

Part payments, recorded

Half now and half on Friday is how gyms actually get paid. Both halves sit against the member with dates, so the balance is a fact rather than a recollection.

The dues list is never stale

Fee status is recalculated every night, so "who owes money" is answered by opening a screen rather than by going through a book.

What it looks like

Built for a phone at the front desk and a laptop in the office, not a demo video.

The commission question, which dominates everything else

Gym software that collects fees through its own payment gateway usually takes a percentage. Two per cent of ₹4,00,000 in monthly collections is ₹8,000 a month — more than any subscription in the category, and it grows as you do.

It is worth asking about before the headline price, because it is the number that ends up larger. With CoachFit the money never passes through us, so there is nothing for us to take a cut of.

What a member sees when they owe you money

A WhatsApp message with their name, the date their plan ends and the amount. Then, if they open the app, the same figure with a button that opens their UPI app.

The gym confirms the money arrived before the membership extends, because a UPI link is an instruction to pay rather than proof of payment — and pretending otherwise is how a gym ends up giving away a month.

  • Receipts against the member, with date and amount
  • Outstanding dues aged by how long they have been owed
  • Revenue by month, by plan and by branch
  • Renewal links you can send to somebody who is not in the app

None — the money never passes through us

1–3% where a built-in gateway is used

The full breakdown — what is included, what costs extra, and what happens when you add a branch — is on the pricing page, and the features page covers how this part actually works.

Common questions

Does CoachFit take a cut of the fees I collect?

No. Members pay onto your own UPI ID and the money reaches you directly. We charge for the software — ₹299 a month — and nothing else.

Can I record a cash payment?

Yes, and most gyms do for a good share of their takings. Cash, UPI and part payments are all recorded against the member with the date, so the balance is right whichever way they paid.

How do members pay if they do not use the app?

You send them a renewal link over WhatsApp. It opens a page with the amount, your UPI QR and a one-tap payment link, with no login needed.

Does it produce GST invoices?

CoachFit records payments and receipts against each member and reports revenue by month, plan and branch, which is what your accountant needs. It is not a full accounting package and does not file returns.
