Gym management software in India: a buyer’s guide

What it does, what it should cost, and the eight questions worth asking before you pay for a year of anything. Written for gym owners here, where fees arrive by UPI and members read WhatsApp.

What gym management software actually is

A gym generates the same handful of facts every day: who joined, who paid, who turned up, whose plan is about to end, and which trainer is owed what. Run on paper, those facts live in four places that never quite agree. Gym management software puts them in one place and — this is the part that matters — acts on them without being asked.

The record-keeping is the obvious half. The useful half is the follow-up: a system that notices on Tuesday that eleven memberships end on Friday, and sends those eleven people a message, recovers more revenue in a month than the software costs in a year.

Most of these are awkward to ask after you have paid, and easy to ask before.

Does the money reach you directly?

Some platforms route member fees through their own payment account and pass them on later, minus a percentage. Ask where the money lands and what the cut is. Software that collects onto your own UPI ID takes nothing, and you are paid the moment the member pays.

What does the price actually include?

A low headline price usually means member-count tiers, per-seat staff charges, or an extra line for the mobile app. Work out the cost at the size you expect to be in a year, not today.

Will it talk to the biometric device you own?

Most Indian gyms already have an ADMS fingerprint or face terminal. Software that cannot read it means buying a new device or typing attendance by hand — check the model before you commit.

How do members hear from you?

SMS is largely ignored and expensive. Check whether reminders go out over the official WhatsApp Business Platform, what each message costs, and whether you can see what was delivered.

Can you leave with your data?

Ask for an export before you sign up, not after. Members, payments and attendance should come out as a file you can read, and the answer should not require a support ticket.

What happens to a second branch?

Multi-branch is where pricing quietly becomes an enterprise conversation. Check the cost per branch, and whether staff at one branch can see another branch’s members and takings.

Who can see the revenue figures?

A front-desk login that shows monthly takings is a problem you only notice once. Check that roles are granular enough to hide what a receptionist has no need to see.

How long does setup really take?

If the answer involves an implementation call, a training session and a setup fee, add those to the price. Software this size should be usable the same afternoon.

What it costs in India

Prices sit roughly between ₹89 and ₹2,000 a month. The spread is not really about features — it is about how much of the product is included at the price advertised. The three costs that most often appear later are per-member tiers, per-seat staff logins, and a percentage of the fees you collect through the platform’s own gateway.

That last one dominates everything else. A 2% cut of ₹4,00,000 in monthly collections is ₹8,000 a month — more than any subscription in the category. It is worth asking about before the headline price.

Do small gyms need gym management software?

Below roughly fifty members a notebook genuinely works. Past that, the failure is not record-keeping but follow-up: nobody notices the twelve people whose plans ended last week until they have already joined somewhere else. That is the point at which software pays for itself.

Can gym management software handle more than one branch?

Good software separates branches properly — each with its own members, staff, attendance and takings — while giving the owner a view across all of them. Check both halves: plenty of products offer the consolidated view but let every staff member see every branch.

Is cloud-based gym software safe?

Look for encryption in transit, per-gym data separation, role-based access and a stated retention period. Under the Digital Personal Data Protection Act, 2023 your gym is the Data Fiduciary for your members’ information and the software provider is a Data Processor — so ask what they do with it, and get the answer in writing.
