Most gyms keep members in three places at once: a register at the desk, a WhatsApp group, and a spreadsheet somebody updates on Sundays. None of them agree, and the one question that matters — who is about to leave — is not answerable from any of them.
CoachFit keeps one record per member. The plan they are on, when it ends, what they owe, when they last trained, which trainer they see, what they have bought. Opening a member answers every question the desk gets asked, without opening anything else.
Added in thirty seconds
Name, number, plan. Dates and fee status are worked out from the plan, so nobody types an expiry date and nobody gets it wrong.
They fill in their own details
Send the joining link on WhatsApp and the member types their own name, number and plan. You accept it, and they exist — no forms at the desk and no typing for you.
Expiring members surface themselves
Fee status is recalculated every night, so the expiring list is never stale and the reminder goes out whether or not anybody remembered to look.
Nothing is ever deleted
A member who leaves is archived, with their payments, visits and plans intact. Restore them and everything is exactly where it was.
What one member record holds
The point of a single record is that no question needs a second screen. Everything the front desk is asked about a member is on it.
- Plan, start and expiry date, and how many days are left
- Dues outstanding, payments made, and a receipt for each one
- Every check-in: from the biometric machine, the app, or the desk
- Personal training packages, sessions used and sessions left
- Workout and diet plan currently assigned
- Add-ons — cardio, locker, classes — with their own prices
Bringing an existing gym across
A gym moving from a register has hundreds of members already, and typing them in one at a time is the reason most gyms give up on day one. CoachFit imports a spreadsheet: name, number, plan, expiry date.
Every row is independent. One bad phone number does not throw away the file — it comes back named, with the row it was on, so you can correct it rather than guess.
Member management: common questions
How many members can I add?
Unlimited, on every plan. CoachFit does not charge per member, so a gym with 800 members pays the same ₹299 a month as a gym with 80.
Can I import my existing member list?
Yes. Upload a spreadsheet with names, numbers, plans and expiry dates, and every valid row becomes a member. Rows that cannot be read are returned to you with the reason, so nothing is silently dropped.
What happens to a member who leaves?
They are archived rather than deleted: off every active list, unable to sign in, with their entire history kept. If they come back, restoring them puts everything back as it was.
