Trainers and personal training

Gym software that works out what each trainer has earned

Personal training is where a gym’s margin actually lives, and it is almost always the part run on a WhatsApp group and a notebook — sessions promised, sessions delivered, and a monthly argument about the difference.

CoachFit counts sessions as they happen and turns that into a payout figure nobody has to work out by hand.

Packages that count down

Sell a member ten sessions and the tenth is the tenth. Each completed session decrements the package, so both of you can see what is left.

Pay calculated, not reconstructed

Per-session or monthly, whichever a trainer is on. Per-session pay accrues as sessions are marked complete, so payday is a number you read rather than an evening you spend.

Each trainer sees only their own

A trainer opens their diary and finds their sessions and their members. Not the gym’s takings, not another trainer’s schedule, and not the ability to complete somebody else’s session.

Trainers who work at several gyms

A freelance trainer on the books at four gyms switches between them in one app, with each gym’s members, rates and packages kept apart.

What it looks like

Built for a phone at the front desk and a laptop in the office, not a demo video.

The permission problem most gym software gets wrong

Give a trainer a login and most systems give them the gym. They can see monthly revenue, every member’s dues, and often every other trainer’s schedule. Owners discover this when a trainer leaves.

In CoachFit a trainer’s session list is scoped to them at the server, not hidden in the interface. They cannot see the gym’s revenue, cannot open another trainer’s diary, and cannot mark somebody else’s session complete — which matters, because completing a session moves money.

What the owner sees that the trainer does not

Sessions delivered per trainer, per month. What each is owed and what has been paid. Which trainers are busy and which are carrying two clients.

That last one is the number worth having. A trainer with an empty diary is a cost; the same trainer with a full one is the most profitable thing in the building, and the gap between them is invisible without a record.

  • Sessions completed, by trainer and by month
  • Outstanding payouts, calculated from completed sessions
  • Which members have PT packages, and how many sessions remain
  • Revenue from personal training, separated from membership income

Common questions

Can trainers see the gym’s revenue?

No. A trainer’s access is limited to their own sessions and the members assigned to them. Revenue, dues across the gym and other trainers’ diaries are not visible to them, and that is enforced on the server rather than by hiding a menu.

How is trainer pay calculated?

Per-session trainers accrue pay as each session is marked complete, at the rate or split you set for them. Monthly trainers are a fixed figure. Either way the total is calculated from records rather than reconstructed at the end of the month.

Can one trainer work at more than one gym?

Yes. A trainer on the books at several gyms signs in once and switches between them, with each gym’s members, session rates and packages kept entirely separate.

Do trainers need their own app?

No. Trainers use the same CoachFit app as owners and members — on Android, or on an iPhone from the home screen — and see their schedule, their members and their session history.
