Biometric attendance

Gym management software that talks to your biometric machine

Most Indian gyms already have a fingerprint terminal by the front desk. It usually came with software that runs on one Windows machine, exports a spreadsheet, and has nothing to do with who has paid.

CoachFit reads that same terminal directly. A member puts a finger on the reader and the attendance lands against their record — beside their plan, their expiry date and what they owe.

Works with the machine you have

Standard ADMS fingerprint and face terminals — the kind sold across India for a few thousand rupees. No proprietary hardware to buy, and no reader locked to one vendor.

Enrol once, recognised at every reader

The terminal matches the finger itself and sends us an event: a number, a timestamp and its serial. We keep its encoded template — never a fingerprint image — only to enrol the member on your other readers, and delete it when they delete their account.

Attendance that knows about money

A check-in is worth little on its own. Tied to the membership record it answers the question that matters: which paying members have stopped coming, and for how long.

No terminal, no problem

Gyms without hardware use app check-in or a tap at the desk. All three land in the same attendance history, so the reports do not care which you used.

What it looks like

Built for a phone at the front desk and a laptop in the office, not a demo video.

What "ADMS" means, and why it matters when you buy

ADMS is the protocol most Indian attendance terminals speak to push events to a server. It is what lets a device on your gym floor report to software running somewhere else, rather than to a PC in the corner that has to stay switched on.

It matters at purchase time because it is the difference between a terminal that works with any modern system and one that works only with the CD it came with. If a vendor cannot tell you whether their device pushes over ADMS, that is the answer.

  • Device pushes events to the server, so no local PC has to stay on
  • Enrolment happens at the terminal, as your staff already do it
  • A dropped connection queues events rather than losing them
  • One device per branch, each reporting to its own branch record

The privacy question your members will eventually ask

Under the Digital Personal Data Protection Act, 2023 a gym is the Data Fiduciary for its members’ information, and biometric data is the kind people ask about first.

The honest answer with CoachFit is short: the fingerprint template stays on the terminal. It is never transmitted, never stored on our servers, and could not be retrieved from them if somebody tried. What we hold is a number linking a member to their enrolment.

Common questions

Which biometric devices work with CoachFit?

Standard ADMS-compatible fingerprint and face terminals, which covers most devices sold in India — including the common eSSL, ZKTeco and Realtime models. If your terminal can push attendance to a server URL, it will work. Send us the model and we will confirm before you commit.

Is fingerprint data stored on your servers?

Only the terminal's own encoded template, never a fingerprint image. The terminal matches the finger itself and sends an attendance event. CoachFit keeps the template so a member enrolled on one of your readers works on the others, never shares it, and deletes it when the member deletes their account.

What happens if the internet drops?

The terminal queues events and pushes them when the connection returns, so a few hours offline costs you nothing. Members still check in normally; the records simply arrive late.

Can I use biometric attendance across several branches?

Yes. Each branch has its own terminal reporting to its own branch record, so attendance never lands in the wrong place and staff see only the branch they work at.
