Free gym management software, and what it actually costs you

Searching for free gym management software is a completely reasonable thing to do, especially in your first year. There are real free options, and for some gyms they are genuinely the right answer for a while.

This page is about where each one stops — written by somebody selling the paid alternative, so read it that way, but the numbers are checkable and the trial is 5 days with no card.

Free plans that cap members

Most free tiers stop at 25, 50 or 100 members. That is fine until the month you cross it, at which point you are choosing a paid plan under time pressure with your data already inside somebody else’s product.

Free plans that cap the useful part

The more common shape: unlimited members, but reminders, the mobile app or biometric support sit behind the paid tier. The free plan holds records; the paid one does the follow-up, which was the reason to want software.

Open source, which is free of licence fees only

A self-hosted gym system needs a server, a domain, backups, updates and somebody who can fix it at 8pm on a Sunday. That is a few hundred rupees a month in hosting and an unbounded amount of your evenings.

A spreadsheet, which is genuinely free

And which works, honestly, up to about fifty members. It holds the records perfectly well. What it cannot do is notice on Tuesday that eleven plans end on Friday.

What it looks like

Built for a phone at the front desk and a laptop in the office, not a demo video.

The number that decides it

Not features, and not price. Work out what one lapsed membership is worth to you — for most Indian gyms somewhere between ₹1,000 and ₹3,000 a month, repeating.

If software that chases renewals recovers one member a month, it has paid for itself several times over at ₹299. If your gym is small enough that you personally notice every member who stops coming, it has not — and a spreadsheet is the right answer until that stops being true.

That threshold arrives somewhere between fifty and a hundred members for most gyms. It is not really about the size of the roll. It is the point at which you stop noticing.

What to check before you commit to anything, free or paid

These cost nothing to ask and are awkward to ask afterwards. They apply as much to a free plan as a paid one — arguably more, because a free plan you have outgrown is the hardest kind to leave.

  • Can you export members, payments and attendance as a file today, without asking anybody?
  • What is the member limit, and what happens the month you pass it?
  • Is there a commission on fees collected through the platform? That number dwarfs the rest
  • Does the free plan include reminders, or only records?
  • What happens to your data if you stop paying — deleted, frozen, or still exportable?

What you actually pay, compared

CoachFit

₹299 a month, every feature, unlimited members, no commission

Typical of the category

Free to a member cap, then a tier — with reminders and the app usually above it

The full breakdown — what is included, what costs extra, and what happens when you add a branch — is on the pricing page, and the features page covers how this part actually works.

Common questions

Is CoachFit free?

No. There is a 5-day free trial with every feature switched on and no card required, after which it is ₹299 a month or ₹2999 a year. There is no permanently free tier, because a free tier that genuinely works is a paid tier somebody else is subsidising.

Is there genuinely free gym management software in India?

Yes — several products have free tiers, usually capped at a member count or with reminders and the mobile app held back for paying customers. Open-source systems exist too and are free of licence fees, though you pay for hosting and maintain them yourself.

What do I lose by running my gym on a spreadsheet?

Nothing, as a record. What a spreadsheet cannot do is act — notice that eleven plans end on Friday and message those eleven people. That is the whole difference, and below about fifty members it may not be worth paying for.

Do I need a card for the free trial?

No card, and nothing charges automatically at the end. The trial runs 5 days with every feature enabled; when it ends your data stays exactly where it is and the account waits for you to choose a plan.

Try it against your own members

5 days, every feature, no card. ₹299 a month after that, with unlimited members.
