Group classes are where most gyms lose money quietly. The class is full but nobody knows who is coming, three people turn up for a mat that is not there, and the two who would have taken a cancelled place were never told it came free.
CoachFit puts the timetable in the member app. A class has a length, a teacher and a limit; members book a place, the list closes when the room is full, and the first person waiting is moved up automatically when somebody cancels.
Written once, runs weekly
Say Zumba runs Monday, Wednesday and Friday at 7am and the timetable fills itself in. Cancelling one Friday leaves every other Friday alone.
The room decides the limit
Twenty mats means twenty places. The twenty-first member joins a waitlist instead of turning up to a class with nowhere to stand.
A cancelled place is never wasted
When somebody drops out, the next person on the list is booked in and told. Nobody has to watch the list, and no place goes empty because the news travelled too slowly.
Included, per class, or on a pass
Charge nothing because the membership covers it, a price per class, or sell ten classes up front and let members draw them down. A pass can also be unlimited for a month rather than a count, and limited to particular classes, so a yoga pass does not open spinning.
What a member sees
The week ahead, with the classes at their own branch and their own bookings marked on it. One button per class, and it says what will actually happen when they press it.
- How many places are left, before they tap
- Their position on the waitlist, if the class is full
- What is left on their class pass
- A warning when cancelling this late will still use up the class
- Booking that opens a week ahead, or as far ahead as you set for each class
What the gym sees
Today at a glance, and the register for each class. The number worth watching is how many people are waiting for a place: that is the signal to put another class on, and it is invisible in every gym that takes bookings on WhatsApp.
The register fills itself from the door. A member who checks in — by fingerprint, from the app or at the desk — between fifteen minutes before and twenty minutes after a class they booked is marked present automatically. Anybody else is two taps, and the record sits with the rest of that member’s attendance rather than in a separate notebook.
When a class has to be called off
The teacher is ill and the class is not happening. Cancel it with a reason and everybody booked is told immediately. A class taken from a pass goes back on it and a charge not yet paid is written off; money already paid is refunded by the gym.
A class that vanishes from the timetable with no explanation is how a member decides the gym is badly run, so the reason is required rather than optional.
Group classes: common questions
Can members book classes from their phone?
Yes. The timetable is in the member app and on the web, showing their branch’s classes for the fortnight ahead with places left on each. Booking and cancelling are one tap.
What happens when a class is full?
The next member joins a waitlist and is told their position. If somebody cancels, the first person waiting is booked in automatically and notified — nobody at the gym has to watch the list.
Can I charge separately for classes?
Three ways: included in the membership, a price per class, or a pass — ten classes for a fixed amount, spent one at a time, or unlimited classes for a month. A pass can be limited to particular classes. Each class can be priced differently, so yoga can be included while spinning is not.
Can I stop people cancelling at the last minute?
Every class has a cancellation cutoff: two hours before it starts, unless you set another for that class. Cancel earlier and the class goes back on the pass; cancel later and it is used, because by then the place is unlikely to be filled from the waitlist.
