WhatsApp automation

Renewal reminders that go out on WhatsApp, on their own

Every gym loses members the same way. A plan ends on a Tuesday, nobody notices until the following week, and by then the member has joined the place down the road.

CoachFit checks every membership each night and sends the reminder itself — on WhatsApp, because that is the one message an Indian member actually reads.

Official, not a personal number

Messages go through the WhatsApp Business Platform from a verified business number, using templates Meta has approved. Not a phone in a drawer running an automation app, which is how gyms get their number banned.

You choose when

Before the expiry date, on the day, after it, or all three. Set it once per gym and the nightly sweep does the rest.

Prepaid, so it cannot surprise you

Credit is topped up in advance at ₹0.28 a message. When it runs out, messages stop and the rest of the product carries on — there is no bill at the end of the month for something you did not watch.

Delivery is tracked

Each message records whether WhatsApp delivered it, and why not when it failed. A number that is wrong shows up as a number that is wrong, rather than as silence.

What it looks like

Built for a phone at the front desk and a laptop in the office, not a demo video.

Why SMS stopped working, and what replaced it

Transactional SMS in India now costs more than it did, arrives in a folder nobody opens, and competes with a screen full of OTPs and bank alerts. Open rates are poor enough that many gyms stopped bothering.

WhatsApp is where the same member reads messages from their family. A renewal reminder lands in that list, from a named business account, with a blue tick beside it. The difference in response is not subtle.

What a member actually receives

One message, in plain words, with their name, the gym’s name, the date their plan ends and what is owed. No marketing, no images, no link they have to trust.

And the reply comes back to you. A member who answers "I will come tomorrow" appears in your gym’s messages rather than into nothing, because the conversation is two-way.

  • Sent one at a time, not as a burst — a hundred at once is how a number gets throttled
  • Stops the moment credit runs out, part-way through, rather than failing silently
  • A member who has paid is never chased, because billing marks it settled
  • Members can ask you to stop, and that is honoured

Common questions

Do WhatsApp reminders cost extra?

Yes — ₹0.28 per message, from credit you top up in advance. Meta charges per message and we pass that through at cost. Everything else in CoachFit is included in the ₹299 a month.

Will my gym’s WhatsApp number get banned?

Not for this. Bans happen to personal numbers running unofficial automation tools. CoachFit uses the official WhatsApp Business Platform with templates Meta reviewed and approved, which is the arrangement Meta built for exactly this.

Can I send a message to everybody at once?

Renewal reminders go to the members whose plans are ending, which is the point — a message to everybody is the kind that gets muted. Messages are also paced rather than sent in a burst, because a sudden hundred is how a business number gets throttled.

What if a member replies?

Their reply reaches your gym and you can answer within WhatsApp’s 24-hour window, so the reminder becomes a conversation rather than a notice.

Try it against your own members

5 days, every feature, no card. ₹299 a month after that, with unlimited members.
