Budget-Friendly Gym Management Software in India (2026)

What affordable gym software in India actually costs in 2026, the charges vendors leave out, and six questions to ask before you pay for any of it.

Most gym software in India is priced for a chain and sold to a single-room gym. This is what the cheaper options actually cost in 2026, what the low price leaves out, and how to tell a genuinely affordable tool from one that is cheap until you need it to do something.

What "budget" means in this market

Published pricing for gym management software in India in 2026 sits roughly like this:

  • Entry tools — around ₹999–1,499 a month

  • Mid-market Indian products — ₹1,500–3,500 a month

  • International platforms — ₹2,500 a month and up, often billed in dollars

Two things are worth noticing before you compare anything.

Per-branch or per-gym? A quoted price often covers one location. A second branch doubles it.

Is the cheapest plan the real product? Many entry plans cap members, remove attendance, or charge extra for a member app. The price you compare should be the price of the plan that does what you need, not the one on the poster.

What actually drives the cost

Members on the plan

Most vendors tier by member count. This punishes exactly the gym that is growing and cannot yet afford a jump. Ask what happens at 200, 500 and 1,000 members before you sign.

Branches

If you run, or might run, more than one location, this is the number that matters most. A tool at ₹1,500 for one gym is ₹4,500 for three.

WhatsApp messages

This is the cost nobody warns you about. WhatsApp reminders go through Meta's Business API, and Meta charges per conversation — roughly 25–30 paise for a utility message in India. Some vendors bundle a quota, some resell at a markup, some make you bring your own account.

For a 300-member gym sending fee reminders, it is a small number — a few hundred rupees a month. It is only a problem when it is hidden.

Payment gateway charges

Separate from the software. Razorpay and similar charge around 2% plus GST on UPI and cards. Nobody escapes this, and any vendor implying otherwise is not being straight with you.

What cheap software usually leaves out

Having looked at what the lower-priced tools in this market include, the same four gaps recur:

Attendance that is actually attendance. Plenty of tools let staff tick a box. Far fewer connect to a biometric device, and that is the difference between a record and a guess. If you want members marked present without somebody at the desk doing it, ask specifically whether the software talks to ADMS-protocol fingerprint terminals, and which models.

A member app that members will open. A web page with your logo is not an app. Ask whether members can see their own dues, their attendance and their plan expiry without phoning the desk.

Trainer pay. Most gym software manages members and stops. If you pay trainers a share of personal training, working that out by hand every month is an hour you will resent.

Multi-branch that is not three logins. Running three gyms from three accounts is not multi-branch. Ask to see one screen with all branches on it.

Where CoachFit sits, plainly

CoachFit is ₹299 a month, or ₹2,999 a year — ₹250 a month billed yearly. Extra branches are ₹199 a month each. WhatsApp is charged at cost, ₹0.28 a message, from prepaid credit, and nothing is sent that has not been paid for.

That is below the cheapest tools commonly listed in this market, and there are three reasons worth being open about:

  1. One plan. Every feature is in it — members, biometric attendance, UPI fees, WhatsApp, trainers, classes, the member app, reports. There is no tier where attendance appears.

  2. No per-member pricing. A gym at 800 members pays what a gym at 80 pays.

  3. It is built for Indian gyms rather than translated for them. UPI, WhatsApp and ADMS biometric terminals are the defaults, not regional add-ons.

What you should hold against it: CoachFit is new. There is no decade of case studies. If a long customer list is what reassures you, that is a fair reason to choose something else — and we would rather say so than have you find out in month two.

How to compare without wasting a fortnight

Ask every vendor the same six questions in writing:

  1. What does the plan I need cost per month, all in, for my member count?

  2. What does a second branch cost?

  3. Does it connect to a biometric device, and which models?

  4. How are WhatsApp messages charged, and by whom?

  5. Can I export all my data, and in what format?

  6. What happens to my data if I stop paying?

Question five and six are the ones that separate a tool you can leave from a tool you are stuck in.

Then take the free trial and do one real thing with it — import a hundred real members and take one real payment. A demo shows you the product working. A trial shows you your gym in it.

CoachFit's trial is five days, needs no card, and covers five members so you can try it properly before paying. If you want the longer version of what a system like this replaces, read gym management software, explained, or see what it costs.
