Yoga studio management software for batches, fees and attendance

Yoga studio management software keeps track of who is in which batch, who has paid this month and who has stopped coming. CoachFit is built for the way Indian yoga studios actually run — fixed morning and evening batches on a monthly fee, rather than the drop-in classes most imported software assumes — and costs ₹299 a month with every feature included.

Why most yoga software does not fit an Indian studio

The best-known yoga studio platforms are designed around drop-in classes: somebody books a single 6pm vinyasa class, pays for that class, and books again next week. That is how studios run in much of the world.

It is not how most yoga studios run in India. Here a student joins a batch — the 6am, the 7am, the 6pm — pays for the month, and comes to the same batch every day. The question the owner needs answered is not "who booked Tuesday’s class" but "who in the 6am batch has paid, who has missed a week, and is there room for one more".

Software built for the first model makes the second one awkward. You end up creating thirty separate class bookings a month for every student, or working around the system entirely.

Running batches

In CoachFit each batch is a recurring class at a fixed time with a set number of places. You can see how full each batch is at a glance, which matters when the 7am batch is the one everybody wants and the 8am has space.

  • Fixed batches at set times, each with its own capacity
  • A waitlist when a batch is full, so a place that opens goes to the next person automatically
  • Separate batches for beginners, intermediate and advanced, or for prenatal and therapy groups

Monthly fees, collected without the chasing

Most yoga studios collect a monthly fee, and most lose some of it to students who simply forget. CoachFit shows who has paid for the current month and whose fee falls due this week.

Reminders go out on WhatsApp before the fee is due, with your studio’s name in the message. Students pay by UPI into your account. Cash and card payments are recorded the same way, so the month’s takings are in one place whatever way somebody paid.

Discounts are written down as discounts. A student on a family rate or a two-month offer shows the full fee and the amount taken off, so your reports reflect what the batch is actually worth.

Attendance that shows who is drifting away

Yoga students rarely cancel. They come less, then stop, then do not renew — and the fee is lost weeks after the student already decided. Attendance is the earlier signal.

Students check in from the member app, you mark them at the front desk, or a fingerprint machine does it at the door. Either way you can see who has not come in for a week while there is still time to call them.

What your students see

Each student gets an app with their batch, their fee status, their attendance for the month and a streak for consecutive days practised. They can see how busy the studio is before they leave home, pay their fee, and pause their membership if they are travelling.

Pausing matters more for yoga than most kinds of gym. Students travel, fall ill and take breaks, and a studio that lets them pause rather than cancel keeps far more of them.

Teachers, workshops and private sessions

Add your teachers and assign them to batches. Private and one-to-one sessions are tracked separately, with the fee split between the studio and the teacher worked out for you.

Workshops and weekend intensives can be sold as class passes — a fixed number of sessions bought up front — alongside the regular monthly batches.

Questions

Can I run several yoga batches at different times?
Yes. Each batch is a recurring class with its own time and capacity, so a studio with a 6am, 7am, 8am and 6pm batch sets each up once and sees how full every one of them is.
What happens when a batch is full?
New students join a waitlist. When somebody leaves the batch, the place goes to the next person on the waitlist automatically, and nobody has been charged for a place they did not get.
Can students pause their membership?
Yes. A paused membership stops the clock on the plan, so the days are not lost while a student is travelling or unwell, and it resumes on its own on the date you set.
How much does yoga studio software cost?
CoachFit is ₹299 a month, or ₹2,999 a year, with every feature included and no limit on the number of students. Extra branches are ₹199 a month each.
Do students need to download an app?
No, but most prefer to. The member app shows their batch, fees and attendance and lets them pay; students who do not install it still receive their reminders on WhatsApp.
