Gym break-even calculator

Break-even is the only number in a gym that settles arguments. Not how many people have joined, not how many names are in the register — how many are paying this month, against what the month costs.

Put your costs in and it tells you the member count you need, what you are earning per member, and how far a change in price moves the answer.

Where you stand

Monthly costs₹2,50,000
Monthly revenue₹1,80,000
Monthly shortfall₹70,000
Members needed to break even209

59 more than you have now

Each member is worth ₹1,200 a month. Ten more covers ₹12,000 of cost.

Why paying members and joined members are different numbers

A gym with 400 names on the register and 180 paying is a 180-member gym. The other 220 are people who stopped coming and never said so — and because almost nobody cancels a gym membership out loud, that gap is normal rather than exceptional.

This is why the calculator asks for members paying this month rather than total members. Break-even against the register is a comforting number that means nothing.

What counts as a monthly cost

Everything that leaves the account whether or not a single member turns up.

  • Rent, and any maintenance or society charge on the space
  • Salaries for trainers, front desk and housekeeping
  • Electricity, which is heavier than most first-time owners expect
  • Equipment servicing and repairs
  • Marketing, software and payment gateway charges

What to do with the answer

If the number is close to what you have, the lever is almost never price — it is retention. Members leave quietly, and a gym that spots a member going quiet in week one keeps far more of them than one that notices when a renewal fails eight weeks later.

If the number is far above what you have, price and cost both need looking at. Raising a ₹1,000 membership to ₹1,200 moves break-even more than most owners expect — try it in the calculator before dismissing it.

Questions

How many members does a gym need to break even?
At an average of ₹1,200 a month per member, a gym with ₹2.5 lakh of monthly costs needs roughly 210 paying members. The figure moves sharply with rent and with what you charge, which is what the calculator is for.
How long does a gym take to break even?
Twelve to twenty-four months is realistic for a well-run independent gym in India. Anyone promising six months is selling something.
Should I count members who owe fees?
No. Count members who have actually paid for the current month. Unpaid dues are money you hope to collect, not money covering this month’s rent.

Stop working this out by hand

CoachFit keeps the members, the attendance and the fees in one place, so these numbers are a glance rather than an evening. ₹299 a month, everything included.
